We are looking for an exceptional Kaiwhakahaere Tari - Office Manager / People & Operations to run the day-to-day support of our people, office operations, payroll, health & safety, and IT coordination while driving continuous improvement across the business. Reporting to our HR Manager, you'll play a pivotal role in creating an organised, safe, compliant, and positive workplace where our people can thrive to do their best mahi.

Key Responsibilities:  

This is a varied, hands-on role where no two days look the same. You'll be the go-to person who keeps the business humming and our people supported - working closely with our Pou, Kaimahi, and external providers. This isn't an entry-level administration role - it's a trusted position with significant responsibility across people and operations.


Payroll

  • Process fortnightly payroll accurately and on time.
  • Manage employee leave and payroll records.
  • Ensure payroll complies with NZ legislation.
  • Resolve payroll queries promptly and confidentially.
  • Human Resources
  • Support the entire employee lifecycle including recruitment, training and development, well-being initiatives, and employee records.
  • Maintain accurate employee records and HR systems.
  • Assist the HR Manager with HR projects and people initiatives.
  • Maintain strict confidentiality at all times.


Health & Safety

  • Coordinate the company's Health & Safety systems and documentation.
  • Maintain training and competency records.
  • Monitor incident reporting, investigations and corrective actions.
  • Schedule audits, toolbox meetings and compliance requirements.
  • Support managers and teams to maintain a safe working environment.
  • Ensure legislative compliance and continuous improvement.
  • Office Management
  • Manage day-to-day office operations and communications.
  • Coordinate office supplies, equipment and facilities.
  • Keep documentation, filing systems and business records organised.
  • Coordinate meetings, travel and internal events.


IT Coordination

  • Coordinate IT onboarding and offboarding for employees.
  • Manage laptops, phones, licences and office technology.
  • Liaise with external IT providers to resolve issues.
  • Maintain IT asset registers and equipment allocation.
  • Help implement new technology, training, and business systems.
  • Systems & Process Improvement.
  • Continuously look for smarter ways of working.
  • Improve administrative systems and documentation.
  • Develop and maintain standard operating procedures.
  • Help implement new processes and encourage team adoption.
  • Support projects that improve efficiency, communication and employee experience.

Essential

You have specialist experience in one or two of the core functions:

  • Health and Safety
  • Human Resources
  • Payroll
  • Office Management


Preferred

  • Confidence managing competing priorities and working independently.
  • Excellent organisational and communication skills.
  • A genuine commitment to improving systems and creating positive experiences for others.
  • High levels of professionalism, discretion and confidentiality.
  • Strong technology skills across Microsoft 365 and cloud-based business systems.
  • Experience working in a Kaupapa Māori environment would be advantageous but isn't essential.

Mō te tūranga | The role As the Pou-a-iwi, you will lead a highly motivated and skilled team who takes pride in engaging with our Iwi through events, design, and communications. You will know the nuances that make Ngāruahine, Ngāruahine; particularly, why, how and when to reach out to our different uri – rangatahi mai, pāhake mai – ki tāwāhi, ki te kāinga rānei. Key Responsibilities: Lead the development and delivery of strategic communications and engagement initiatives that strengthen connections with uri across our takiwā, throughout the motu, and globally. Build and nurture trusted relationships with, whānau, hapū, iwi, partners, stakeholders, and the wider community. Lead, mentor, and develop a high-performing Communications and Engagement team, fostering a collaborative and innovative culture. Oversee the planning and delivery of communications, engagement activities, and key organisational programmes, ensuring they are well coordinated and aligned with our annual plan and strategic priorities. Ensure the delivery of high-quality, engaging, and culturally appropriate communications that reflect our kaupapa and strengthen our reputation. Monitor engagement and communications outcomes, using feedback and insights to continuously improve our approach and increase participation. He kōrero mōu | About you The successful candidate will offer: A strong knowledge and understanding of Ngāruahine Demonstrated experience in a senior communications, engagement, or stakeholder relations role, preferably within an iwi, Māori, public sector, or community-focused organisation. Proven ability to develop and deliver strategic communications and engagement initiatives that build strong relationships, assist to collect, collate and store appropriate data and increase participation. Experience in leading, mentoring, and developing high-performing teams. Strong relationship management skills, with the ability to engage effectively with uri, whānau, hapū, iwi, partners, and a wide range of stakeholders. Excellent written and verbal communication skills, with experience producing engaging content across a variety of platforms. Strong proficiency in te reo Māori, in both written and spoken contexts. A relevant tertiary qualification in communications, public relations, marketing, journalism, or a related discipline is desirable, or equivalent experience.
